Section: User Settings

**User Settings** holds the settings that belong to you as a user rather than to the dealership: your name, your free Dealersip email address, your password, the daily summary email, your email signature, and the devices where you stay signed in. Changing something here affects only your own login. Other users are not affected.

## Opening User Settings

1. Click the user menu, the person icon at the far right of the green header bar.
2. Choose **User Settings**.

## What is on the page

The page is made up of four cards:

| Card | Where it sits | What it is for |
|---|---|---|
| **User Info** | Top left | Your name, login email, free Dealersip email address, customer ID, and the **Change Password** link. See [User Info](https://dealersip.com/KnowledgeBase/UserSettings-49887/#user-info) and [Changing Your Password](https://dealersip.com/KnowledgeBase/UserSettings-49887/#changing-your-password). |
| **Settings** | Top right | The **Send Daily Updates** option. See [Send Daily Updates](https://dealersip.com/KnowledgeBase/UserSettings-49887/#send-daily-updates). |
| **Email Signature** | Middle, full width | The signature added to emails you write from Dealersip. See [Email Signature](https://dealersip.com/KnowledgeBase/UserSettings-49887/#email-signature). |
| **Signed in devices** | Bottom | Devices where you stay signed in without a password. See [Signed In Devices](https://dealersip.com/KnowledgeBase/UserSettings-49887/#signed-in-devices). |

Each card saves on its own, with its own button. Changes in one card are not saved by another card's button.

## User Info

The **User Info** card is at the top left of **User Settings**. To open it, click the user menu (the person icon at the far right of the green header bar) and choose **User Settings**.

| Field | Can you change it? | What it is |
|---|---|---|
| **User Name** | Yes | Your name as shown in Dealersip, including at the top of the user menu. |
| **Email** | No | The email address you log in with. It cannot be changed. |
| **Mailbox ID** | Yes | The first part of your free Dealersip email address. |
| **Customer ID** | No | Your company's customer number. The support team asks for it when you contact them. |

The **Change Password** link at the bottom of the card is covered in [Changing Your Password](https://dealersip.com/KnowledgeBase/UserSettings-49887/#changing-your-password).

### Changing your name

1. In **User Name**, type your name as you want it shown.
2. Press **Save**, the green button at the right of the box.
3. Dealersip confirms with *User name updated successfully.*

- The name cannot be blank. Dealersip refuses with *User name cannot be empty.*
- Your name is saved on your central login, so it changes in **every Oroo product** you use with the same login, not only in Dealersip. See [Central Login System](https://dealersip.com/KnowledgeBase/Administration-49858/#central-login-system).

### Your free Dealersip email address

Every user gets a free email address in this form:

**mailboxid.usernumber@mail.dealersip.com**, for example **miked.1016@mail.dealersip.com**

- **mailboxid** is the part you choose, in **Mailbox ID**.
- **usernumber** is your user number. It is fixed, and is shown after the **Mailbox ID** box.

Your full address is also shown at the top right of the **Email Signature** card, next to *Your free dealersip email*.

Email sent to this address arrives in **CRM → Email**. To open it, expand **CRM** in the sidebar and click **Email**.

#### Changing your Mailbox ID

1. In **Mailbox ID**, type the new first part of your address.
2. Press **Save**, the green button at the right of the row.
3. Dealersip confirms with *Mailbox id updated successfully.* The new address appears straight away, both in the **User Info** card and at the top of the **Email Signature** card.

**Rules:**

- It must be **3 to 50 characters** long.
- It must start with a letter or a number.
- Only letters, numbers, dashes (-) and underscores (_) are allowed. Spaces, dots and other symbols are not.
- Capital letters are changed to lowercase when it is saved.
- It must not already be used by another user.

**What Dealersip refuses, and the message you see:**

| Problem | Message |
|---|---|
| The box is empty | *Mailbox id cannot be empty.* |
| Too short, too long, or has characters that are not allowed | *Invalid mailbox id. Mailbox id must be 3-50 characters. Only letters, numbers, dashes, or underscores are allowed in the mail id.* |
| Another user already has it | *This mailbox id is already in use.* |

**Your old address keeps working.** After you change your Mailbox ID, email sent to the old address still arrives, in the same **CRM → Email** inbox. Anyone who already has your old address can still reach you.

## Changing Your Password

1. Click the user menu, the person icon at the far right of the green header bar, and choose **User Settings**.
2. In the **User Info** card at the top left, press **Change Password**, the blue link at the bottom of the card.
3. A window titled **Change Password** opens. Fill in all three boxes:
  - **Enter old password**: your current password.
  - **Enter new password**: the password you want to use from now on.
  - **Confirm new password**: the new password again, exactly as before.
4. Press **Save changes**.
5. Dealersip confirms with *Password has been changed successfully. Your other devices will need the new password next time they sign in.* The window closes.

To leave without changing anything, press **Close**.

**What Dealersip refuses, and the message you see:**

| Problem | Message |
|---|---|
| The two new passwords are different | *"New password" and "Confirm password" do not match.* |
| The old password is wrong | *Incorrect old password.* |

**What changing your password does:**

- **It changes your password in every Oroo product** you use with the same login, not only in Dealersip. See [Central Login System](https://dealersip.com/KnowledgeBase/Administration-49858/#central-login-system).
- **You stay logged in** on the device you changed it from.
- **Every other trusted device stops signing in by itself** and asks for the new password next time. The device you changed it from stays signed in, if it was already trusted. See [Signed In Devices](https://dealersip.com/KnowledgeBase/UserSettings-49887/#signed-in-devices).

**If you do not know your old password,** you cannot change it here. Log out and use **Forgot Password** on the login page instead. See [Forgot Password](https://dealersip.com/KnowledgeBase/LoggingIn-50309/#forgot-password).

## Send Daily Updates

**Send Daily Updates** makes Dealersip email you a daily summary of your dealerships. It covers things such as leads that need your attention and your inventory. What the summary contains changes as Dealersip is updated.

### Turning it on or off

1. Click the user menu, the person icon at the far right of the green header bar, and choose **User Settings**.
2. In the **Settings** card at the top right, tick **Send Daily Updates** to receive the email, or untick it to stop.
3. Press **Save**, the green button at the bottom right of the **Settings** card.

Ticking or unticking the box does nothing until you press **Save**.

This setting is yours alone. Each user turns the daily summary on or off for themselves.

## Email Signature

Your email signature is the closing text of your emails, such as your name, phone number and email address. When you write an email to a lead, contact or deal from Dealersip, Dealersip adds your signature to the message for you.

The signature is yours alone. Every user sets their own.

### Setting your signature

1. Click the user menu, the person icon at the far right of the green header bar, and choose **User Settings**.
2. Find the **Email Signature** card in the middle of the page.
3. Type your signature in the large editing box.
4. Press **Update**, the green button at the bottom right of the card.
5. Dealersip confirms with *Updated successfully.*

The toolbar above the box formats the text: style, bold, italic, underline, strikethrough, clear formatting, font size, colour, bullet and numbered lists, paragraph alignment, table, link, picture, code view, undo and redo.

### Limits

- **The signature cannot be empty.** Dealersip refuses with *Empty signatures cannot be saved.*
- **The signature can be at most 200 characters, and formatting counts towards that limit.** Every line break, bold word, colour and link adds hidden characters on top of the text you see. A signature that looks short can still be refused, with *Empty signatures cannot be longer than 200 characters.* If that happens, remove some formatting or shorten the text.
- **Pictures almost always go over the limit.** A signature with a picture in it will usually be refused.

The top right of the card also shows your free Dealersip email address, next to *Your free dealersip email*. To change it, see [User Info](https://dealersip.com/KnowledgeBase/UserSettings-49887/#user-info).

## Signed In Devices

**Signed In Devices** lists every phone, tablet and computer where you are staying signed in to Dealersip without a password. Use it to see where your login is active, to give each device a name you recognise, and to sign out a device you no longer have, such as a lost or replaced phone.

A device appears here only after you log in on it with **Keep me signed in on this device** ticked. See [Keep Me Signed In](https://dealersip.com/KnowledgeBase/LoggingIn-50309/#keep-me-signed-in).

### Opening the list

1. Click the user menu, the person icon at the far right of the green header bar.
2. Choose **User Settings**.
3. Scroll to the bottom of the page, below **Email Signature**, to the card headed **Signed in devices**.

The list shows **only your own** devices. Every user sees only the devices signed in with their own login.

### What each row shows

| Part of the row | What it means |
|---|---|
| **Device name** | Dealersip names the device after its system and browser when it is first trusted, for example *Android - Chrome*, *iOS - Safari* or *Windows - Edge*. You can rename it. |
| **This device** badge (green) | The device you are using right now. It is always listed first. |
| **Installed app** badge | The device was trusted from the installed Dealersip app, not from a browser tab. |
| **Last used** | The last time this device signed you in, with the password or by itself. |
| **Location** | An approximate location, based on the internet address the device was first trusted from. It can be blank, and it does not change when the device moves. |
| **IP address** | The internet address the device last signed in from. |
| **expires** | The date the device stops signing in by itself, if it is not used before then. Each use moves this date 90 days forward. |

After **This device**, the most recently used devices come first. Devices that have been signed out or have expired are not listed. If no devices are trusted, the card says *No devices are staying signed in.*

### Renaming a device

1. Find the device in **Signed in devices**.
2. Press **Rename**, the outlined button at the right of the row.
3. A box titled **Name this device** opens, showing the current name. Type the new name, for example *Sales floor iPad*.
4. Press **OK**.

The list refreshes with the new name.

- The name cannot be blank. Dealersip refuses with *Please enter a name for the device.*
- Names longer than 100 characters are cut to 100.
- Renaming only changes the label. It does not change how long the device stays signed in.

### Signing a device out

1. Find the device in **Signed in devices**.
2. Press **Sign out**, the filled button next to **Rename**.
3. Dealersip asks *Sign this device out? It will need the password next time.* Press **OK**.

The device disappears from the list, and from then on it must enter the password to open Dealersip.

**Signing out here does not close Dealersip if it is open on that device right now.** It only stops the device signing in by itself. If someone is using Dealersip on that device at this moment, their session continues until it ends: when they log out, after a period of inactivity, or when Dealersip is updated. After that, the device asks for the password.

You can also sign out the row marked **This device**. You stay logged in for now, and this device asks for the password the next time your session ends.

If the device was already signed out, for example because it expired or was signed out from another device, Dealersip shows *That device is no longer signed in.* Reload the **User Settings** page to see the current list.

### Lost or stolen device

1. Go to **User Settings → Signed in devices** and press **Sign out** on the missing device.
2. For extra safety, change your password. See [Changing Your Password](https://dealersip.com/KnowledgeBase/UserSettings-49887/#changing-your-password).

Changing the password stops **every** trusted device signing in by itself. Only the device you are using stays signed in, and only if it was already trusted. Dealersip confirms with *Password has been changed successfully. Your other devices will need the new password next time they sign in.*

The new password also applies to every other Oroo product you use with the same login. See [Central Login System](https://dealersip.com/KnowledgeBase/Administration-49858/#central-login-system).

There is no single button that signs out all devices at once. To do that, change your password, or press **Sign out** on each row.
